We are looking to hire an experienced Project Manager within Hilton Supply Management (HSM) on a fixed-term basis, for a period of 12 months. Based in either Watford (UK) or Paris (France), you will have management responsibility for planning, organising and executing timely completion of all property expansions, renovations and new construction FF&E and OS&E project installations within contracted budgets. You will further support the purchasing function for FF&E and OS&E across the EMEA region to ensure that the established level of quality products and services are purchased at the best possible price.

What is HSM?

Hilton Supply Management provides value-based procurement solutions within the global hotel industry. Leveraging the power of over 4,500 hotels within the Hilton portfolio of brands, HSM negotiates and implements contracts and agreements with hundreds of suppliers of hospitality products and services. We benchmark and identify suppliers, products and services that best drive value to Hilton's portfolio of hotels.


What will I be doing?

Main accountabilities for the Project Procurement Manager role can be broken down as follows;

• Research and help to identify business opportunities for HSM Project Services and report findings and conclusions to upper management.

• Ensure that the overall execution of all FF&E and OS&E projects are completed on time and within the contracted budget.

• Serve as the liaison and manage cross-functional links between the Brand, the property, the property owner, HHC Design/ A&C, the Interior Designer, multiple Suppliers, Project Services and Strategic Sourcing.

• Coordinate, conduct and participate in meetings and discussions with Suppliers, Project Development, Design & Construction and Strategic Sourcing to create forward-looking strategies and process improvements for future FF&E and OS&E projects.

• Align with Strategic Sourcing on new programs and/or the renegotiation of existing programs with suppliers and/or manufacturers.

• Coordinate, conduct, and participate in project-specific meetings with internal and external departments, key stakeholders, and suppliers to develop project timelines, procurement, logistics and installation strategies.

• Communicate all information in a timely manner to internal departments, external customers and suppliers and ensure all parties are aware of key milestones and project timelines.

• Assist in the development of Bill of Quantities (BOQ) and specifications for FF&E and OS&E ensuring all meet brand standard compliance.

• Arrange sample products for review including but not limited to mock up room reviews and tabletop presentations.

• Facilitate the execution and approval process for all supplier purchase orders (POs) ensuring completeness and accuracy and reflection of latest requirements, terms and conditions and governing regulations.

• Prepare regular reports including but not limited to bid analysis, variances to budget, delivery schedules, goods received, cashflow forecasts and payment requests.

• Execute the PO fulfillment/expediting activities.

• Provide Finance/key stakeholders all relevant information and verify accuracy to ensure payments to suppliers and remittances to HSM are processed and received in line with agreed terms and project timelines.

• Develop delivery schedule in conjunction with key project stakeholders and ensure communication to all parties.

• Monitor shipments and if necessary oversee on site goods receiving, installation and snagging.

• Assist in the development of handover manuals and final inventory including submission of all necessary certificates for FF&E and warranty documentation.

• Research and resolve any project related discrepancies and disputes and assist customers with filing lost or damaged product freight claims.

• Review existing business processes and procedures to maximize efficiency and effectiveness within the department.

• Work within a flexible resource model, which may include providing interim lateral support to peers or assuming other projects based upon present workload and capacity.

• Provide exceptional customer service to all internal and external stakeholders.

What are we looking for?

The ideal candidate will possess the following skills and/or experience;

• Proven experience as a Project Manager within Procurement, Hospitality, Supply Management, Interior Design or a similar field. A formal project management certification would be beneficial although not essential.

• Educated to Bachelor’s degree level, or with equivalent experience in lieu thereof.

• A second European language (in addition to English) would be preferred, although not essential.

• Ability to learn and navigate all of HSM/s software applications including Birch Street, Ariba and proprietary project management software.

• Sound analytical and problem solving skills.

• Excellent communication skills, both written and verbal.

• Mathematical skills necessary to calculate percentage discounts, net weighted averages and comparative figure analysis.

• Minimum of Intermediate level skills across MS Office Suite, in particular Excel and Outlook.

• Absolute discretion and confidentially regarding sensitive information.

• Must be able to commit to some UK and European travel as required.
