Sales and Logistics Administrator, Pharmaceuticals, North London

Our North London based client is looking to recruit a Sales & Logistics Administrator to support the Global Operations Manager. This organisation are a global lead in developing, distribution and selling pharmaceutical products within the veterinary industry. They operate in prime locations internationally and are offering a wide range of benefits for the successful applicant.

Your new role:
  • As the Sales & Logistics Administrator you will be responsible for ensuring the smooth flow of goods from point A to point B.
  • Establish and maintain working relationships with distributors/partners.
  • Supporting external sales team and territory Managers/Directors.
  • Providing sales data.
  • Obtain data from distributors and partners on sales and stocks and maintain records.
  • Maintain product rolling forecasts and product price lists.
  • Prepare product quotations.
  • Confirming orders to customers and processing orders on system.
  • Liaising with internal departments to progress manufacture of product to suit both the company’s and the customers’ requirements.
  • Liaise with accounts department on obtaining payments on due dates.
  • Negotiating and arranging freight options for dispatch of orders ensuring the flow of goods from one point to the other is smooth.
  • Preparing instructions to freight companies on collection and shipment of orders.
  • Liaising with CMO’s to ensure products are packed as per the customer’s specifications and ready for arranged collections.
  • Arrange inspections with relevant bodies if required.
  • Resolving of invoice queries from freight providers.
  • Preparing export documents.
  • Responsible for maintaining the ERP system in relation to dispatch of product and control and administration of consignment stock.
  • Become an integral contributor to the weekly.
  • Sales and Operational Planning meeting.
  • Liaising directly with suppliers and subcontractors.
  • Track delivery progress of shipments.
  • Liaise with regulatory department on requests from customers/distributor

What you'll need to succeed:

To succeed in this role you will be a strong communicator in order to liaise with all of the parties both internally and externally. You must be approachable and stay calm under pressure to resolve any issues amongst production as they arise.
  • Spanish speaking would be a strong advantage.
  • Strong relevant experience in a Sales & Logistics environment.
  • Experience of ERP systems required. Knowledge of SAGE ERP X3 system would be a distinct advantage. Strong administrative skills.
  • Excellent IT skills, in particular EXCEL and other MS packages.
  • Demonstrated ability to manage multiple priorities, and have strong data analysis, problem solving and decision making ability.
  • Demonstrated ability to work with all organisational levels and work effectively in a team environment.
  • Strong verbal and written communication skills.
  • Ability to build and maintain strong working relationships.
  • Ability to function with a strong sense of urgency and self-confidence within rapidly changing situations.
  • Work independently and make decisions with minimal supervision.
